Listing events

How do I get my club dance listed on the STS web site and in the magazine?

If your club is not yet part of the pilot scheme to enter its own events then please send us a form in the usual way. You will find the a link to the forms at the top of each diary page. To avoid confusion please make sure you use the correct form. Thre are different forms to tell us about new events and to tell us about changes to events that are already listed. The pilot scheme for clubs to enter their own events will not be taking new member sbetween December 2012 and April 2013. This is so that we can learn lesons from the first nine months of the scheme.

Will you list my Club's regular meetings on the STS web site ?

We no longer add regular meetings on the web site ourselves. However clubs which enter their own events into the S&TS diary can enter regular club nights. If your club would like to enter its own events email us at the usual address.

I have only got some details ready, when can I list my event ?

Send what you have as soon as you can. As a minimum we need date, type of event and club. You can add more details as they are confirmed - see the next FAQ. Don't forget the sooner you add details to the calendar the more chance you have of avoiding a local clash of dates! If your club enters its own events you can also start with the minimum details as above and add more information as it becomes available

How do I change the details for my club event after it is listed on the STS web site ?

If your club is not yet part of the pilot scheme to enter its own events then please send us a form in the usual way. You will find the a link to the forms at the top of each diary page. Be sure to tell us which details have changed by clicking on the drop down menu on the form. If you have a lot of changes to make then by all means email them to us if that is easier for you than filling in lots of forms. Please do not send your club list though, just tell us what to delete and what to add. You must tell us the dates of the events though! To avoid confusion please make sure you use the correct form. There are different forms to tell us about new events and to tell us about changes to events that are already listed. And don't tell us to look on your web site -- we wont and you event as listed on STS will not be changed.

I don't have access to the internet, can I send details by post ?

Yes, you can send details by post. However as it has to be "copy typed" it will take much longer to be included in the web site and magazine listings. If you can, persuade a club member to send it via their e-mail, or see if your local Library has a public internet connection.

What kind of events do you include on the web site?

STS includes social dance events mainly those based around the English tradition - country dances, barn dances, ceilidhs, contras etc. We do not include line dancing, American Square dances, Cajun, Zydeco world music events, concerts etc. We do not include morris instructionals and similar events, dance demonstrations nor performances.

My morris/rapper/appalachian club is holding a morris/rapper/appalachian workshop. Will you list that?

No, we only list social dance events like ceilidhs, barn dances, social dances etc.

My morris/rapper/appalachian club is holding a ceilidh. Will you list that?

Yes, just send the details in the usual way using the form here.

My morris/rapper/appalachian club is giving a dance display. Will you list that?

No, we list only social dance events based around the English tradition - country dances, barn dances, ceilidhs, contras etc.

I have a whole season's dances to submit. Must I send a form for each one ?

No. Providing the basic information is the same - club, venue town, venue postcode, county, type of event - just send an email with this information at the top of the message and then list the dates and the bands and callers. Please do not format the information in any way - the web site and the magazine each have their own (different) house styles. if your e-mail contains fancy formatting or links to other web sites it has to be converted into plain text for the web site. This takes time and will mean your email being left until last. DO NOT send the information as an attachment to your email. Either type or paste the details into the message. DO NOT tell us to look on your web site for further information, we won't and your event will not be listed. Can I send you my club's programme ?

No. You can, however our priority order to publish events is: events entered directly onto the web site by clubs, events sent in on the submission forms, events sent in by e-mails, events sent in as attachments. These take much longer for us to process and are inevitably much delayed. We cannot read Lotus Notes files. We cannot read MS Publisher files. We cannot cut and paste from Adobe pdf files. Can I email you the poster for my club's event?

No. You can, however our priority order to publish events is: events entered directly onto the web site by clubs,

You should allow at least a calendar month for us to process attachments rather than the 5 days for other material. If the attachment is large it might be too big for our mailbox. Your event will be listed more quickly if you paste the information into an email. We cannot read Lotus Notes or MS Publisher files. We cannot cut and paste from Adobe pdf files. How quickly will my event be listed on the web site?

If your club is part of the pilot scheme to enter its own events then your event will be published within a week of the club entering it. If you have sent in a submission form then it will take a little longer, our target is to list events sent in by form within two weeks of our receiving it. If the event details were sent in any other form it will be published a s soon as we can. At busy times - eg just after the magazine is published or when the printed directory is published in January it can take a little longer. Our aim is to list events within two to three weeks. Do remember that the web site and magazine are produced in our spare time so we can give no guarantees.

I sent the event details in three weeks ago but haven't heard from you. What should I do ?

E-mail and ask if we have received the information This email address is being protected from spambots. You need JavaScript enabled to view it.. We might be on holiday, at a festival, poorly, or just busy with real life and family commitments. Please do not resend the forms unless we ask you to. Duplicating the submission forms confuses us. And wastes our time. We used to publish dates of our holidays on the web site but this is a security risk and upsets our insurance companies so we don't do that anymore.

What is the charge for listing on the STS web site ?

There is no charge for listings on the web site, or in the magazine. There are charges for advertising in the magazine.
